Summary of Organizational Strategy Implementation.

Let me summarize the last few blogs about implementing a new organizational strategy.

Your people will feel threatened by your organizational change. So, you will need to:

___ Meet with all affected personnel privately and confidentially. Have them sign a Contractual Agreement (CA) before your announcement.

___ Assure everyone that you will not reduce their income or benefits. Explain their expanded career paths and future rewards. Be firm. Do not adjust or reject your organizational strategy for someone's private interests. Your company has an identity and a life of its own. Executive Meeting

___ Prepare your introductory materials once you have their signed CAs. Be sure to include your new Org Chart and Reorganization Notice. Make your Announcement and Reorganization Presentation in person and in writing.

___ Emphasize that your firm's reorganization is scheduled for a certain Changeover Date. Make sure that you allow enough time between the Announcement Date and the Changeover Date so everyone can be adequately prepared.
(Do not allow piecemeal fulfillment and delays to produce confusion, conflicting accountabilities, and the perception that you don't know what you're doing.)
___ Make sure your reorganization is complete on the official Changeover Date.

OK. You’ve prepared your introductory materials including your new Org Chart and Reorganization Notice. Now, you need some guidelines for your Announcement Presentation.

Guidelines for Announcing your new Organizational Strategy.

Tell them:
We (management) have been working on a new organizational strategy because the company - and its employees - cannot make further progress without this important step.
You may want to cover other points, such as:
We have studied proven, scientific principles of organization. (You're telling them this is not an experiment.)

We all work within a structure that must have a life and identity of its own. Meanwhile, we expect our co-operation to produce individual rewards and satisfactions. Thus, we satisfy our personal interests by satisfying our company's interests, and conversely.

We understand that this reorganization satisfies some people while frustrating others. Our reorganization is not a judgment of your value. We are neither punishing nor demoting anyone. We have not reduced anyone's income.

According to scientific organizational principles, a manager can effectively manage a limited number of people. So, we changed some manager's subordinates to a proper level. We made some tough decisions.

You might think we gave someone a position that you should have been given. In fact, you might be right! Anyone can make an incorrect decision. But, starting today all compensation will be based on performance. Do your best and you will be rewarded.

We have given you an Organization Chart (for your department) and your personal Reorganization Notice. These documents should answer most of your questions. If you have further questions or want a private discussion, please meet with your new manager at a mutually convenient time.

Thank you for your attention and cooperation as we enter the most exciting phase of our company's life to date.

Together, we will all succeed.
(*Note: If you have any new compensation plan(s), you may need to make a separate presentation.)

Implement your reorganization!

In ONE day -- your specified Changeover Date -- implement all changes at once!

Faster implementation of new Organizational Strategy 5.

Since most people feel threatened by organizational change, you must conduct private, confidential meetings with all affected personnel to obtain signed Contractual Agreements ("CA") before your announcement.

At this time, you emphasize why the BIG IDEA is worth working for and explain your expanded career paths and future rewards.

Now you’re ready to answer this question...

How can you rollout your organizational change with confidence?
Prepare Your Introductory Materials. Once you have signed CAs, prepare your introductory materials, which should include your new Org Chart and Reorganization Notice, as follows:

Org Chart. You have some options here. You can:
1, Prepare your Org Chart on one sheet of paper, or,
2. Create separate sheets that show two levels (manager and subordinates, or,
3. Use both approaches to list non-management positions.
Reorganization Notice. Prepare your Reorganization Notice to tell employees how the change will affect them organizationally. It should say something like,
"Effective (date) your new position will be (Position Title). You will be reporting to the position of (Position Title) occupied by (name)."
If that position is a managerial position, add a statement like,
"Your subordinate positions will be (1., 2., ...) occupied by (names)."
Sign and date your Notice.

After you have prepared these materials, you are ready for your Announcement Date Presentation.

You simply MUST do this in person!
Make your Announcement and Reorganization Presentation in person AND in writing. This will give everyone personal contact plus necessary documentation.

In your announcement presentation, emphasize that your firm's reorganization is scheduled for a specific Changeover Date. Make sure you leave enough time between the Announcement Date and the Changeover Date so everyone can be prepared.

But, don’t allow piecemeal fulfillment and delays to produce confusion, conflicting accountabilities, and the perception that you don't know what you're doing. Make sure your reorganization is complete on the official Changeover Date!
